The steps
- Pull licenses with renewal due in the next 90 days — Generate the 90-day renewal report. Group by jurisdiction (state, city, federal). Flag any license that's already past due — these are immediate priorities, not 90-day items.
- Verify current jurisdictional requirements — For each renewal, check the jurisdiction's website for current year requirements. Requirements change — fee amounts, required forms, attached documents. Don't assume last year's process is this year's.
- Compile required documentation — Gather typical attachments: certificate of good standing, articles of incorporation, business address proof, tax ID, list of officers. Prepare in advance — last-minute scrambles miss deadlines.
- Submit renewal and pay fees — Submit via the jurisdictional portal or paper if required. Pay fees from the appropriate budget line. Save confirmation: receipt, confirmation number, expected new license date.
- Track receipt of renewed license — Most renewals issue immediately or within 5-10 business days. Confirm receipt of the renewed license document. File in the license registry. Update the next renewal date.
- Surface upcoming renewals for the quarter ahead — Generate a forward-looking report of renewals due in the next 90-180 days. Distribute to legal/finance/ops lead. Helps prevent surprise expirations.
If it goes wrong
License lapses, fines or operational restrictions imposed
Reinstate immediately, pay fines, document the failure. Reform the renewal calendar to send T-90, T-30, T-7 reminders to a backup owner — single-owner SOPs are fragile.
Jurisdiction's portal is down or filings get lost
Always retain confirmation of submission (receipt, screenshot, email). If the agency can't find your filing, evidence of timely submission is the protection.
