Candidate Experience Survey
Quarterly candidate experience report: response rate, NPS trend, dimension scores, top patterns, recommended interventions. Pattern-level escalations to HR or hiring manager.
Before you start
- Survey tool with anonymous response capability
- Survey questions reviewed for fairness and bias
- Quarterly cadence for analysis
- Candidate stage at exit (rejected, hired, withdrew)
- Survey question set (5-8 questions, mix of scale and open-ended)

The steps
- Trigger survey at exit point — When a candidate is moved to a terminal status (Hired, Rejected, Withdrew), trigger the survey 3 days after the status change. Wait period reduces emotion-driven response and increases reflective feedback quality.
- Send via email with clear anonymity assurance — Email mentions: anonymous, takes 3-5 minutes, used to improve future candidates' experience, not tied to their decision outcome. Provide opt-out link. Trust is the precondition for honest feedback.
- Use balanced question set — Mix of: NPS-style overall rating, scale ratings on specific dimensions (clarity of process, timeliness of communication, quality of interview experience), and open-ended ('what could we have done better?'). Avoid leading questions.
- Aggregate responses by stage and outcome — Group responses by: stage at exit, role/team, geographic region. Compare hired-candidate experience to rejected-candidate experience — gaps reveal whether process is consistent across outcomes.
- Surface patterns and themes — Identify recurring themes in open-ended responses. Common patterns: slow communication, unclear next steps, panelist behavior issues. Don't react to single complaints — react to patterns. Pattern threshold: 5+ similar responses in a quarter.
- Quarterly debrief with TA leadership — Present findings: NPS trend, dimension scores, top 3 patterns, recommended interventions. Track interventions to outcomes — did 'fix slow communication' actually move communication ratings next quarter?
If it goes wrong
Response rate under 10%
Survey is too long, untimely, or untrusted. Cut to 5 questions max, send within 7 days of exit, and reaffirm anonymity in the email. Test response rate after each change.
Hired candidates rate high, rejected rate low — outcome bias
Expected — but the gap matters. If gap is closing over time, process is becoming more consistent. If gap is widening, rejection process needs work specifically.
Open-ended responses are unactionable ('it was fine')
Rework prompts to be more specific: 'What was the most useful part of the interview process?' and 'What would have made it better?' Specific prompts produce specific feedback.
