Candidate Rejection Email
Rejection email sent within 48 hours of decision. ATS updated: status, reason, talent-pool tag if applicable. Future-fit candidates flagged with re-engagement date. Internal referrer notified.
Before you start
- Rejection decision documented in ATS with reason
- Approved rejection templates per stage (resume, screen, onsite)
- Talent pool tagging policy
- Candidate name, role applied for, stage at rejection
- Rejection reason (skill gap, timing, stronger candidates, fit)
- Whether the candidate is a fit for future roles
The steps
- Confirm rejection decision and reason — Verify the rejection has been logged in the ATS with a documented reason. Do not send a rejection without a logged reason — accountability matters and reasons should be auditable.
- Pick the right template by stage — Resume rejection: brief, polite, no specific feedback. Screen rejection: brief, mention engagement appreciated. Onsite rejection: more substantive, include 1-2 sentences of constructive feedback if appropriate. Match tone and length to investment level.
- Personalize the opener — Use the candidate's name and the role title. If they had multiple interactions (interviews, referrals from team), reference that briefly. Avoid 'Dear Candidate' and avoid copy-paste templates without any personalization.
- Deliver the rejection clearly — State the decision in 1 sentence: 'We've decided not to move forward with your candidacy for [role].' Do not soften the rejection so much that the candidate is confused. Clarity is kindness.
- Add appropriate feedback or future-fit note — Onsite-stage candidates: include 1-2 sentences of constructive feedback, only if you have something genuine and useful to say. Future-fit candidates: explicitly mention you'd like to keep in touch and tag them as a future-pipeline candidate. Do not promise future roles you can't deliver.
- Send and update ATS — Send from the recruiter's address (not a no-reply). Update ATS: stage = Rejected, reason coded, talent pool tag if applicable. Set a re-engagement date if future-fit. Confirm send within 48 hours of decision — delays compound the bad news.
If it goes wrong
Candidate ghosted instead of rejected
Hard-fail: every candidate who interviewed gets a written rejection. Audit silently-rejected candidates monthly and close the loop on every one.
Rejection feedback opens a debate or hostility
Default to no feedback unless the candidate specifically asked. If they push back, respond once politely; do not engage in a feedback debate.
Generic rejection language damages employer brand
Audit a sample monthly. If templates feel cold, refresh them. Glassdoor and TeamBlind reviews are the consequence.
