The steps
- Audit current inventory — Walk the office (or pull sensor data) and update inventory counts. Flag items below reorder threshold. Common items: paper, ink, snacks, beverages, office necessities.
- Build the reorder list with quantities — For each below-threshold item, calculate quantity to reorder based on burn rate (last 90 days) and storage capacity. Avoid bulk-buying perishables; avoid under-ordering essentials.
- Compare prices across approved suppliers — Quick price check across 2-3 suppliers. For non-trivial differences, choose the lower-cost option. Track preferred-supplier deals — sometimes a slightly higher base price still wins on free shipping or extended terms.
- Submit order and confirm budget — Submit order via supplier portal. Confirm total against quarterly budget. If approaching budget cap, flag to office manager before completing.
- Track delivery and receive goods — Track expected delivery dates. Coordinate receipt with whoever's onsite. Verify shipment matches order (right items, right quantities, no damage). Report discrepancies to supplier within 48 hours.
- Restock and update inventory — Place items in their designated areas. Update inventory counts in the tracker. Note any item that ran out before restocking — adjust threshold up.
If it goes wrong
Items run out repeatedly between orders
Threshold is too low. Calculate based on burn rate + safety stock (typically 2-week buffer). Adjust per item, not blanket.
Vendor sends wrong items, no time to return
Verify shipment within 48 hours. If wrong, contact vendor immediately for replacement or credit. Track vendor accuracy.
Office team consumes items faster than expected
Change is the constant — quarterly threshold review. Don't fight burn rate; adjust to it.
