Reactivate Cold Prospect List
Segmented reactivation campaign report: per-segment volume, deliverability metrics, replies, meetings. CRM updated with new status per contact. 6-month suppression applied to non-responders. Angle effectiveness logged.
Before you start
- Cold list available (prior leads, MQLs, expired trials, closed-lost)
- Approved reactivation messaging
- List hygiene tools to suppress unsubscribed contacts
- Cold contact list with last activity date
- Reason they went cold (if logged)
- New product, pricing, or content angle to lead with
The steps
- Pull and segment the cold list — Pull contacts with last activity >180 days. Segment by: (a) closed-lost, (b) expired trial, (c) MQL never engaged, (d) past customer churned. Each segment needs a different message — do not blast a single template.
- Validate emails and remove unsubscribes — Run the list through email verification. Drop hard bounces and questionable addresses. Cross-check against the unsubscribe registry — never message an unsubscribed contact, even from a different sequence. Remove role-based emails (info@, sales@) unless explicitly opted in.
- Pick a single fresh angle per segment — For each segment, choose one angle: new product launch, customer win story, industry data point, or pricing change. The angle must be genuinely new — 'just checking in' is unacceptable. If you don't have a fresh angle, do not run the campaign.
- Draft 2-touch reactivation sequence per segment — Touch 1: angle + 1-sentence relevance to their context (segment-specific) + low-friction CTA (reply or read). Touch 2 (Day +5): different angle on same theme, social proof, breakup line if no response. Each email under 80 words. No 'just bumping this up'.
- Limit volume and warm send — Send limit: 50/day per sender domain on a cold list. Warm-up the sequence — start with the most recent cold contacts and work back. Spread sends across 5-7 business days. Do not spike volume — deliverability collapses on cold lists.
- Monitor deliverability and triage replies — Watch open rate and bounce rate daily. If open rate <15% or bounce rate >5% on Day 1, pause and re-verify the list. Triage replies: positive (book meeting), neutral (route to AE for manual reply), negative (mark as 'no longer interested', do not re-engage).
- Report results and recycle — After sequence completes, report: emails sent, open rate, reply rate, meetings booked, revenue attributed. Move all non-responders to 'cold-tested' status with 6-month suppression. Move responders into the active funnel. Log the angle that worked for next reactivation.
If it goes wrong
Domain reputation damaged from cold-list send
Use a separate sender domain for cold reactivation, not your primary outbound domain. Warm the new domain for 2 weeks before sending. If reputation is hit, pause all sends and run a recovery sequence.
Reply: 'I unsubscribed years ago, why am I getting this'
Process immediately: confirm unsubscribe, audit how the contact slipped through, fix the suppression check. Send a short apology with no further pitch. Document the slip for compliance review.
High open rate but zero replies — no fresh angle
Kill the sequence. The angle wasn't actually new. Build a real angle (product launch, hard data, customer win) before re-trying. 'Reactivation' is not a substitute for value.
