Start with your Accountant
Warren, Accountant — Your books, always clean. From hire to first useful output in an hour.
The steps
- What Warren is for — Warren keeps the books clean continuously instead of heroically at close: categorization, invoices, the anomalies worth a look. Hire it when finance runs on a shoebox and a prayer.
- Your first messages — Copy these, fill the {blanks}, send them in this order — context first, then one concrete task:
> Here are last month's transactions: {file}. Categorize them and flag anything odd — duplicates, spikes, subscriptions we forgot.
> Draft the invoice for {client}: {amount, terms, line items}. I'll review before anything goes out.
> Who owes us money right now, and draft a polite chase for each — firm on the oldest.
- Run these superpowers first — From the **Powers** tab — each one turns a short form into a finished document:
**Show me the cash position** — Unpaid invoices by age, your real DSO, and the graduated chase letters already written. (~10 min)
**Chase the missing paperwork** — Who owes what, since when — with the reminder written per person and per channel, then scheduled. (~9 min)
**Hunt down wasted spend** — Duplicates, forgotten subscriptions and supplier price rises nobody noticed. (~9 min)
**Decide where the next euro goes** — The options compared on return, and the case against each. (~7 min)
- Connect these when asked — The work will tell you when it needs a real account. For this role that's usually: Stripe, QuickBooks, Gmail, Outlook, AgentMail, WhatsApp. Connect from the **Apps** tab the first time a task asks — not before.
- Put it on a rhythm — A monthly close-prep pass so close week is a formality, and a weekly AR list: who owes what, chase drafts attached.
Schedules live on the **Agenda** tab; you can pause or edit them there.
