Superpowers for daily operations
The twelve runs that clear a backlog, watch a store, or plan a trip.
The steps
- Which of these you want — This is the shelf with the most connector-gated runs, and it is deliberate: sweeping an inbox or reading a store is worthless from description alone. Four of them read a real account (a mailbox, Shopify, Cal.com, the phone line); the rest work from what you upload or describe. Every one of them drafts and reports — none sends, books, or changes a price.
- Turn a recording into notes — Use it when a call happened and the useful part is buried in an hour of audio.
**You get** — the full transcript in its original language, plus what was actually settled, the actions with owners and dates, and the questions left open.
**Stays yours** — chasing the actions. Inaudible passages are marked as such rather than filled with something plausible.
Run by the **Receptionist** · ~4 min · sharper with Google Docs.
- Clear the inbox backlog — Use it when you open the inbox, there are three hundred, and you cannot tell which four matter.
**You get** — every message in the period in exactly one bucket — needs you / drafted / for information / dead — with the drafts written and anything waiting more than five days flagged.
**Stays yours** — sending. Drafts only, always.
Run by the **Email Secretary** · ~14 min · needs Gmail, Outlook or AgentMail.
- Find where the store leaks money — Use it when the store makes money and you suspect it leaks somewhere you cannot see.
**You get** — abandoned carts, discounts, returns and delivery times each costed in euros from real order data — including which discounts subsidise buyers who would have paid full price.
**Stays yours** — fixing the leaks. It reads the store and costs the damage; it changes nothing in Shopify.
Run by the **Store Manager** · ~11 min · needs Shopify.
- Find what never got a reply — Use it when you know things went silent, and you do not know which things.
**You get** — every thread where you spoke last and nobody answered, sorted into worth chasing and let it go, with the follow-ups written from what was actually discussed.
**Stays yours** — sending. Drafts only.
Run by the **Email Secretary** · ~8 min · needs Gmail, Outlook or AgentMail.
- Find the stock that stopped selling — Use it when cash is tight and some of it is sitting on shelves.
**You get** — variants that sold nothing in the window, valued at cost, split into never sold / stopped selling / far too slow, each with a markdown, bundle, return or write-off recommendation and the reasoning.
**Stays yours** — changing a price, a tag or a stock level. This one is read-only.
Run by the **Store Manager** · ~9 min · needs Shopify.
- Check the catalogue's health — Use it when products are not selling and you suspect the listings rather than the products.
**You get** — every product scored on description, images, SEO, duplicate SKUs, variant drift and publication — ranked by revenue at risk rather than by count.
**Stays yours** — editing the catalogue. Read-only.
Run by the **Store Manager** · ~10 min · needs Shopify.
- Set up inbox rules — Use it when the same kinds of mail arrive every week and you sort them by hand every week.
**You get** — the handful of labels that match how you already think, each rule justified by the volume it handles — and applied for real if you asked.
**Stays yours** — nothing gets deleted, and no rule is applied backwards to mail you have already read.
Run by the **Email Secretary** · ~7 min · needs Gmail, Outlook or AgentMail.
- Fill the diary and cut no-shows — Use it when no-shows and empty slots are both costing you, and neither has an owner.
**You get** — a reminder per booking naming date, time, place and how to cancel easily — easy cancellation is what cuts no-shows — plus each free slot offered to the best match on the waiting list, one slot to one person.
**Stays yours** — it writes reminders and offers. It never books, cancels or moves anything itself.
Run by the **Receptionist** · ~8 min · needs Cal.com.
- Set up the answering machine — Use it when calls go to voicemail nobody listens to, or to a mobile that cannot always pick up.
**You get** — a real phone number — French or American — that answers around the clock, takes the message, and drops a transcribed, qualified summary into your chat: who called, what about, how urgent, what to do next.
**Stays yours** — the greeting, word for word, and the decision of what the line may answer on its own — by default it answers nothing and takes messages, which is the safe setting.
Run by the **Receptionist or Support Agent** · ~5 min.
- What the phone line took — Use it when the phone rings all week and nobody can say what it was about.
**You get** — every call grouped by reason rather than by caller, the urgent ones and the never-called-back ones named first with the number to ring, and the callers who hung up on the machine counted separately.
**Stays yours** — calling them back. It also keeps out anything a caller volunteered beyond why they rang — this document gets forwarded.
Run by the **Receptionist** · ~6 min · sharper with Google Calendar.
- Organise a trip — Use it when there are fixed appointments in another city and everything else has to be built around them.
**You get** — an hour-by-hour itinerary anchored on the appointments, three travel and three accommodation options each with the reason, and the total budget with what must be booked first.
**Stays yours** — booking. It compares and plans — nothing is reserved and no card is ever used.
Run by the **Travel Agent** · ~10 min · sharper with Anchor Browser, Firecrawl, Google Calendar.
- Map a process and fix it — Use it when something takes too long and everyone blames a different step.
**You get** — every step with its working time and its waiting time, the bottleneck named, the handoffs counted, the rework loop found, and the improved process with before and after elapsed time.
**Stays yours** — changing how the team actually works.
Run by the **Advisor** · ~9 min.
- Learn how I write email — Use it when the drafts coming back are correct, and still read like an assistant wrote them rather than you.
**You get** — a voice profile built from your own sent mail — how you open, how you sign off, sentence length, the moves you always make and the ones you never make — checked against threads held back from the study, and used as the rule for every draft afterwards.
**Stays yours** — what you actually say. It reads your sent mail to learn the manner, never the position, and it sends nothing.
Run by the **Email Secretary, Founder, Sales Rep or CMO** · ~12 min · needs Gmail or Outlook.
- Hand any automation off to an employee — Use it when a Zap or an n8n scenario has done the fetching and the last step is a judgement no automation can encode.
**You get** — an endpoint your automation posts to, and a routing list you write in plain language — one line per kind of event, and what it should produce.
**Stays yours** — bounding it. It accepts anything you send it and runs unwatched, so the 'never, under any circumstances' field is the only limit on it.
Run by the **any employee** · ~2 min.
